Privacy Policy

How Titan Turf collects, handles, and safeguards customer personal information and property photography.

1. Information We Collect

When you request a service quote, sign up for an annual membership, or communicate withTitan Turf, we may collect:

  • Contact details: name, email address, and phone number.
  • Property information: street address, lot notes, gate access codes, and hazards.
  • Property imagery: customer-submitted or staff-captured photos of lawns, driveways, and garden beds.
  • Payment records: transaction timestamps and tokenized identifiers managed exclusively by our PCI-DSS compliant payment processor (Stripe). We never store raw credit card numbers.

2. How Information Is Used

Collected data is utilized strictly to provide, price, and dispatch property care services:

  • Calculating accurate property allowances and membership eligibility.
  • Dispatching assigned service crews to confirmed service addresses.
  • Delivering automated arrival notifications, completed visit photos, and invoices.
  • Preventing fraudulent bookings and maintaining compliance with Canadian privacy legislation (PIPEDA).

3. Storage & Photo Privacy

Property photographs and customer address records are stored in private cloud storage. Access is restricted to authorized Titan Turf staff via short-lived signed URLs. Crew members access only the job details relevant to their assigned daily route.

4. Third-Party Disclosures & Tracking

We do not sell, rent, or trade your personal information. Data is shared exclusively with operational infrastructure providers (e.g., payment gateways, transactional email services, mapping APIs) under strict data protection agreements. No third-party marketing or advertising tracking scripts are fired without explicit prior consent.

5. Your Privacy Rights

You may request an export, modification, or permanent deletion of your customer record at any time by contacting our privacy officer.

For privacy inquiries or data requests, please contact privacy@titanturf1.com.

DRAFT: requires owner and legal review before commercial launch.

6. Pet Information, Home Access, and GPS Telemetry (Draft)

For clients subscribing to our private dog walking service, the following specialized privacy policies apply:

  • Pet Profiles and Medical Data: Information regarding canine breed, age, vaccination records, veterinary contacts, and medical or behavioral notes is stored securely. This information is accessible only to assigned walkers and dispatch staff.
  • Home Access Credentials: Keypad door codes and lockbox combinations are stored in encrypted format. Decryption occurs only on demand for the designated walker during the scheduled walk arrival window on the day of service. Door codes are never transmitted via email or unencrypted SMS.
  • GPS Telemetry and Retention: When optional GPS tracking is enabled, location coordinates are collected solely during active in-progress walks to generate route summaries. Route track point coordinates are retained for ninety (90) days, after which coordinate data is automatically purged, leaving only total distance and duration metrics on historical walk reports.
  • Walk Photos: Walk verification photographs are stored in private cloud buckets and served via short-lived fifteen-minute signed URLs. Photos are never shared publicly or used in promotional materials without explicit written consent.
DRAFT: requires owner and legal review before commercial launch.

7. Automated Property Assessment and AI Privacy Disclosures (Draft)

Titan Turf may use automated vision intelligence (Anthropic Claude API) to assist staff in reviewing customer-submitted property photos during membership applications. We enforce strict data minimization practices:

  • Metadata Stripping: Before any image is processed, all Exchangeable Image File Format (EXIF) metadata, including device details, camera serial numbers, and embedded GPS location coordinates, is permanently stripped from the file.
  • Data Transmitted: We transmit only the stripped image bytes and a generic property identifier. Customer personal details, names, phone numbers, email addresses, and payment records are never transmitted to the AI provider.
  • Incidental Imagery: Customer property photographs may incidentally capture house numbers, license plates, or neighborhood faces visible from street level. These images are transmitted solely for automated turf and driveway condition estimates and are never used to train external foundation models.
  • No Automated Pricing or Denials: AI assessments produce advisory estimates only. The artificial intelligence model never finalizes prices, declines applications, or signs agreements. All pricing is determined by our stored pricing rules, and any flagged property is routed directly to a human staff member.
  • Strict Dog Photo Exclusion: Automated AI vision is disabled by default and is strictly prohibited from running on dog photographs, pet records, or animal wellness images.
